What this Privacy Policy Covers
This Privacy Policy covers how we treat Personal Data that we gather when you access or use our Services. “Personal Data” means any information that identifies or relates to a particular individual and also includes information referred to as “personally identifiable information” or “personal information” or “sensitive personal information” under applicable data privacy laws, rules or regulations. This Privacy Policy does not cover the practices of companies we don’t own or control or people we don’t manage.
Personal Data
Categories of Personal Data We Collect
This chart details the categories of Personal Data that we collect and have collected over the past 12 months:
Category of Personal Data (and Examples) |
Business or Commercial Purpose(s) for Collection |
Categories of Third Parties With Whom We Disclose this Personal Data |
Profile or Contact Data such as first and last name, email, phone number, username, unique identifiers, mailing address (where needed for notices, billing, or fulfillment), organization or company name, role or title, team or organization membership, and avatar or profile image. |
|
|
Payment Data such as last 4 digits of payment card number. For purchases made through the Apple App Store (including iOS subscriptions and in-app VICIVENDI Credit packs), payments are processed through Apple's in-app purchase system pursuant to Apple's applicable terms, and UseBuddy does not receive or store your full payment card information in those cases. For separate Enterprise, non-iOS, legacy, or account-managed billing flows outside the App Store, payments may be processed by our payment processor, currently Stripe, Inc. |
|
|
Commercial Data such as purchase history (of products or services, either purchased, obtained, or considered) and consumer profiles. |
|
|
Device/IP Data such as IP address, device ID, and type of device, operating system, or browser used to access the Services. |
|
|
Web Analytics such as web page interactions (including with ads, if any), referring webpage or source through which you accessed the Services, non-identifiable request IDs, statistics associated with the interaction between device or browser and the Services, app events, feature usage, route and map interactions, session and device telemetry, crash and error diagnostics, and product analytics. |
|
|
Social Network Data such as email, phone number (if provided by provider or user), user name or name, IP address, device ID, and information from your social media or identity-provider profile (such as Google and Apple sign-in, which may provide name, email, profile or account identifiers, and authentication metadata). This category also includes data from internal social and profile features within the Services, such as posts, comments, likes or reactions, follows or connections, channels, direct messages, live-room participation, and media. |
|
|
Professional or Employment-Related Data such as job title. |
|
|
Calendar and Scheduling Data such as Google Calendar OAuth tokens (stored server-side where calendar sync is enabled), external calendar email and calendar IDs, appointment and event titles, descriptions, times, location addresses, reminders, sync and watch metadata, and external event IDs. |
|
|
Lead, CRM, Property, and Enrichment Data such as lead and prospect records created in the app, uploaded by users, imported from lists, or obtained through authorized lead and property data vendors. This may include names, phone numbers, emails, addresses, latitude/longitude, lead source and status, appointment and follow-up data, notes, tags, do-not-call and opt-out signals, consent artifacts, property attributes (such as roof type, homeownership status, solar status, and utility data), and public-record and enrichment signals (such as owner age, estimated income range, estimated home value, mortgage and lien indicators, and length of residence) where supplied by a user or vendor. We do not perform consumer credit bureau pulls and do not store actual credit scores. |
|
|
Geolocation Data such as IP-address-based location information, GPS data, route activity, visit and check-in locations, pin and drop-a-pin locations, territory and map interactions, appointment and lead locations, and location-derived workflow recommendations. When you explicitly start the optional iOS Field Alerts feature and grant the requested location permission, VICIVENDI may collect precise location while the app is in the background or not open. During that active session, location is used to identify assigned leads within two miles and may make your latest fresh field position visible to authorized managers in the same active organization. VICIVENDI keeps one current Field Alerts location fix rather than a background movement history. You can end the session at any time, and it automatically expires after 12 hours or at your local midnight, whichever comes first. |
|
|
Sensory Data such as photos, videos, or recordings of you and/or of your environment, including call recordings, voice memos, live coaching audio, transcripts, uploaded media, social and reel video, property and door intelligence photos, and related audio and video metadata. This includes recordings of in-person and remote sales conversations made using the Services' recording features. |
|
|
Categories of Data Considered “Sensitive” Under the U.S. State Privacy Laws (as defined below) such as:
|
We do not collect Sensitive Personal Data for the purpose of inferring characteristics about you. |
|
Inferences Drawn From Other Personal Data Collected such as lead temperature or quality, rep performance and coaching suggestions, suggested next actions, routing and prioritization, appointment likelihood, sales readiness, engagement patterns, and AI-generated summaries and action drafts. |
|
|
Other Identifying Information that You Voluntarily Choose to Provide such as identifying information in emails, support requests, chats, messages, posts, comments, notes, call transcripts, voice memos, uploaded files and media, lead notes, and other communications from users, as well as user-generated content, customer- or administrator-uploaded lead or prospect information, disposition notes, property and door intelligence, scripts and prompts, preferences, feedback, and app configuration data. |

We do not independently verify whether you have obtained such consents. AI Outputs are provided for informational and internal workflow and sales-productivity purposes only and are not guaranteed to be accurate, complete, or suitable for any particular purpose. Data that is Not Personal Data
We may create aggregated, de-identified or anonymized data from the Personal Data we collect, including by removing information that makes the data personally identifiable to a particular user. We may use such aggregated, de-identified or anonymized data and disclose it with third parties for our lawful business purposes, including to analyze, build and improve the Services and promote our business, provided that we will not attempt to reidentify the data and/or disclose such data in a manner that could identify you.
Tracking Tools, Advertising, and Opt-Out
The Services use cookies and similar technologies such as pixel tags, web beacons, clear GIFs and JavaScript (collectively, “Cookies”) to enable our servers to recognize your web browser, tell us how and when you visit and use our Services, analyze trends, learn about our user base and operate and improve our Services. Cookies are small pieces of data– usually text files – placed on your computer, tablet, phone or similar device when you use that device to access our Services. The public vicivendi.com website also uses Plausible, a cookieless website analytics service that collects aggregate, non-identifiable usage data without placing cookies on your device. We may also supplement the information we collect from you with information received from third parties, including third parties that have placed their own Cookies on your device(s).
Please note that because of our use of Cookies, the Services do not currently support “Do Not Track” requests sent from a browser or Global Privacy Control signals at this time.
We use the following types of Cookies:
Essential Cookies. Essential Cookies are required for providing you with features or services that you have requested. For example, certain Cookies enable you to log into secure areas of our Services. Disabling these Cookies may make certain features and services unavailable.
Performance/Analytical Cookies. Performance/Analytical Cookies allow us to understand how visitors use our Services. They do this by collecting information about the number of visitors to the Services, what pages visitors view on our Services and how long visitors are viewing pages on the Services. We use first-party product and application analytics and operational telemetry to measure service performance, feature usage, and user interactions. We do not currently use third-party advertising or analytics cookies (such as Google Analytics, tracking pixels, or similar technologies). If that changes, we will update this Privacy Policy accordingly and provide any required opt-out mechanisms.
You can decide whether or not to accept Cookies through your internet browser’s settings. Most browsers have an option for turning off the Cookie feature, which will prevent your browser from accepting new Cookies, as well as (depending on the sophistication of your browser software) allow you to decide on acceptance of each new Cookie in a variety of ways. You can also delete all Cookies that are already on your device. If you do this, however, you may have to manually adjust some preferences every time you visit our website and some of the Services and functionalities may not work.
The Services currently use only cookies and similar technologies that are strictly necessary to enable core functionality, such as authentication, session management, and device recognition. The public vicivendi.com website uses Plausible, a cookieless analytics service, which does not place cookies on your device. Because we do not currently deploy non-essential cookies or third-party tracking technologies, a separate cookie preference center is not available at this time. If we add non-essential cookies in the future, we will update this Privacy Policy and provide appropriate controls. To find out more information about Cookies generally, including information about how to manage and delete Cookies, please visit http://www.allaboutcookies.org/.
Data Security
We seek to protect your Personal Data from unauthorized access, use and disclosure using appropriate physical, technical, organizational and administrative security measures based on the type of Personal Data and how we are processing that data. You should also help protect your data by appropriately selecting and protecting your password and/or other sign-on mechanism; limiting access to your computer or device and browser; and signing off after you have finished accessing your account. Although we work to protect the security of your account and other data that we hold in our records, please be aware that no method of transmitting data over the internet or storing data is completely secure.
Data Retention
We retain Personal Data about you for as long as necessary to provide you with our Services or to perform our business or commercial purposes for collecting your Personal Data. When establishing a retention period for specific categories of data, we consider who we collected the data from, our need for the Personal Data, why we collected the Personal Data, and the sensitivity of the Personal Data. In some cases we retain Personal Data for longer, if doing so is necessary to comply with our legal obligations, resolve disputes or collect fees owed, or is otherwise permitted or required by applicable law, rule or regulation. We may further retain information in an anonymous or aggregated form where that information would not identify you personally.
For example:
We retain your profile information, credentials, and account records for as long as your account is active, and thereafter as needed to comply with legal, accounting, security, or dispute-resolution obligations.
We retain your payment and billing metadata (such as Stripe subscription records, invoice history, and credit ledger data) for as long as needed to process payments, manage subscriptions, comply with financial and legal obligations, and resolve billing disputes.
We retain device/IP data, telemetry, and security/audit logs for as long as needed to ensure service security, detect fraud, investigate incidents, and comply with applicable legal obligations.
We retain call recordings, voice memos, transcripts, AI outputs, CRM and lead records, notes, geolocation and route data, social content and messages, organization and team records, billing events, support records, and audit logs for as long as reasonably necessary to provide the Services, administer customer organization accounts, maintain security, comply with legal and accounting obligations, resolve disputes, enforce agreements, and honor applicable deletion or export requests. For an optional iOS Field Alerts session, VICIVENDI keeps one latest current location fix rather than a background movement history; that coordinate is removed when the session ends or expires, subject to a short operational cleanup window. Coordinate-free Field Alerts session and delivery diagnostics may be retained for service reliability and abuse prevention. Specific retention periods for other data categories will be established and disclosed as our retention practices are finalized and confirmed.
Personal Data of Children
As noted in the Terms of Use, we do not knowingly collect or solicit Personal Data from individuals under 18 years of age; if you are under the age of 18, please do not attempt to register for or otherwise use the Services or send us any Personal Data. If we learn we have collected Personal Data from an individual under 18 years of age, we will delete that information as quickly as possible. If you believe that an individual under 18 years of age may have provided Personal Data to us, please contact us at privacy@vicivendi.com. To the extent the Children's Online Privacy Protection Act ("COPPA") applies, we do not knowingly collect personally identifiable information from children under 13 years of age.

If you reside in California or Texas you may have certain rights afforded to you (as described below) depending on your state of residence. Please see the ‘Exercising Your Rights under U.S. State Privacy Laws’ section below for instructions regarding how to exercise these rights. Please note that we may process Personal Data of our customers’ end users or employees in connection with our provision of certain services for our customers. If we are processing your Personal Data as a service provider, you should contact the entity that collected your Personal Data in the first instance to address your rights with respect to such data. Please note that your rights may be subject to certain conditions or exceptions in accordance with applicable U.S. State Privacy Laws.
If you have any questions about this section or whether any of the following rights apply to you, please contact us at privacy@vicivendi.com.

“Selling,” “Sharing,” or “Targeted Advertising”
Depending on your state of residence, you may have the right to opt out of the “sale,” “share,” or disclosure of your Personal Data for the purposes of targeted advertising. These or similar terms may be defined differently depending on the applicable U.S. State Privacy Law.
Because we do not currently sell or share your Personal Data for targeted advertising, no opt-out request is required at this time. If this changes, we will update this Privacy Policy and provide required opt-out mechanisms. You may contact us at privacy@vicivendi.com if you have questions about our data sharing practices.
We do not sell, share, or process your Personal Data for the purposes of targeted advertising, and have not done so over the last 12 months. If this changes in the future, we will update this Privacy Policy and provide the required opt-out mechanisms before engaging in any such activity.
To our knowledge, we do not sell or share the Personal Data of minors under 18 years of age.
Processing of Sensitive Personal Data
As needed, we may reach out to you to provide us with Personal Data that may be deemed “sensitive” under certain U.S. State Privacy Laws (“Sensitive Personal Data”). The categories of Sensitive Personal Data we collect and our purposes for collecting such Sensitive Personal Data are described in the ‘Categories of Personal Data We Collect’ section above.
Depending on your state of residence, you may either have the right to opt-in, the right to opt-out, or if you are a California resident, the right to limit our use of your Sensitive Personal Data to permitted purposes, by following the instructions in the “Exercising Your Rights under U.S. State Privacy Laws” section. If you are a California resident, please note that our use and disclosure of Sensitive Personal Data are limited to the permitted purposes set forth in section 7027(m) of the CCPA regulations, including: 1) performing the services or providing the goods reasonably expected, 2) preventing, detecting, and investigating security incidents, 3) resisting malicious, deceptive, fraudulent, or illegal actions, 4) ensuring physical safety of natural persons, 5) for short-term transient use, 6) performing services on behalf of the business, 7) verifying or maintaining quality or safety of a product or service, and 8) collecting or processing Sensitive Personal Data but not for the purpose of inferring characteristics. Therefore, we do not offer a way for you to submit such a request.
Automated Decision Making and Profiling
Depending on the state of your residence, you may have the right to opt-out of the use of automated decision making technology or from the processing of your Personal Data for the purposes of profiling in furtherance of decisions that produce legal or similarly significant effects to you, if applicable. We do not use automated decision-making technology in a manner that produces legal or similarly significant effects about you. We do use AI-powered productivity tools for features such as lead prioritization, call coaching, AI summaries, and suggested actions; however, these tools are designed to assist users and do not substitute for human review or constitute automated decisions with legally significant effects. If you believe our processing affects you in a legally significant way, please contact us at privacy@vicivendi.com.
To our knowledge, we do not use automated decision making technology or process Personal Data for the purpose of profiling of consumers under 18 years of age.
Anti-Discrimination
We will not discriminate against you for exercising your rights under applicable privacy laws. We will not deny you our goods or services, charge you different prices or rates, or provide you a lower quality of goods and services if you exercise your rights under applicable privacy laws. However, we may offer different tiers of our Services as allowed by applicable data privacy laws with varying prices, rates or levels of quality of the goods or services you receive related to the value of Personal Data that we receive from you.
Other State-Specific Privacy Rights
Under California Civil Code Sections 1798.83-1798.84, California residents are entitled to contact us to prevent disclosure of Personal Data to third parties for such third parties’ direct marketing purposes; in order to submit such a request, please contact us at privacy@vicivendi.com.
Your browser may offer you a “Do Not Track” option, which allows you to signal to operators of websites and web applications and services that you do not wish such operators to track certain of your online activities over time and across different websites. Our Services do not support Do Not Track requests at this time. To find out more about “Do Not Track,” you can visit www.allaboutdnt.com.
If you are a resident of Nevada, you have the right to opt-out of the sale of certain Personal Data to third parties. You can exercise this right by contacting us at privacy@vicivendi.com with the subject line “Nevada Do Not Sell Request” and providing us with your name and the email address associated with your account. Please note that we do not currently sell your Personal Data as sales are defined in Nevada Revised Statutes Chapter 603A.
Exercising Your Rights under U.S. State Privacy Laws
To exercise the rights described in this Privacy Policy, you or your Authorized Agent (if applicable and as defined below), must send us a request that (1) provides sufficient information to allow us to verify that you are the person about whom we have collected Personal Data (such as your Contact or Profile Data), and (2) describes your request in sufficient detail to allow us to understand, evaluate and respond to it. Each request that meets both of these criteria will be considered a “Valid Request.” We may not respond to requests that do not meet these criteria. We will only use Personal Data provided in a Valid Request to verify your identity and complete your request. You do not need an account to submit a Valid Request.
We will work to respond to your Valid Request within the time period required by applicable privacy laws. We will not charge you a fee for making a Valid Request unless your Valid Request(s) is excessive, repetitive or manifestly unfounded. If we determine that your Valid Request warrants a fee, we will notify you of the fee and explain that decision before completing your request.

As applicable, you may opt-out from any “sales,” “shares,” or targeted advertising through Cookies, by using the following methods:
By managing your browser's cookie settings to reject non-essential cookies. Note that because we currently use only strictly necessary cookies, no separate cookie consent mechanism is available at this time.
We do not currently process Global Privacy Control (GPC) or similar opt-out preference signals for targeted advertising because we do not engage in the sale or sharing of Personal Data for targeted advertising. If we do so in the future, we will implement the required opt-out mechanisms, including GPC signal processing, and update this Privacy Policy.
